My client in the pharmaceutical industry is looking for a Marketing Administrator to join their team in Tokai, for a 6-month contract.

The purpose of the role is to support the Marketing team with marketing administration that is aligned

to marketing strategies. The successful applicant will also assist the Group Product Manager with the administration relating to state tenders and buy outs.

REQUIREMENTS:

  • Bachelor’s degree in marketing/ Business administration
  • 2-3yrs Marketing administration experience

Duties will include, but are not limited to, the following:

Product Manager Pricing Administration:

  • Managing all DOH (Department of Health) administration:

All product price changes (permanent and temporary price reductions)

Product launches and deviations

  • Liaising with Medi-credit for Napi-codes when launching of products
  • Drafting of wholesaler, vendor, out of stock and discontinuation letter and distributing it to the relevant PM’s
  • Obtaining and completing all relevant documentation from internal departments for Single Exit price (SEP) process

Maintain and co-ordinate POP system, products and relations:

  • Creating Distribution Instructions on the POP system on instruction from the Product Managers
  • Liaising with POP account manager to ensure correct distribution of stock to the regions and dealing with any post-delivery queries.
  • Managing of POP pallets for all PM’s and dealing with the destruction of goods (expired products).
  • Conducting product audits at POP head office and the regionally offices bi-annually
  • Providing the PM’s with POP reports:

POP audits reports done bi-annually

Destruction goods (expired products)

Promotional Items _ Point of Sale (POS) co-ordination:

  • Liaise with the PM’s with regards to the sourcing of promotion items
  • Ensure that 3 quotes are obtained and submitted to PM on agreed deadline
  • Ensure vendors are listed with finance and added to the SHIELD list
  • Ensuring that there is continuous follow up with suppliers to ensure that promotional items have arrived at POP

State buy out and tender administration:

  • Collate all tender requests on instruction from GPM
  • Request quotations from the Supply Chain Manager
  • Respond to state department with required documentation
  • If successful, forward state invoice to Supply Chain and Sales department requesting stock be moved to tender bin

Client Relationship Management (Internal and External):

  • Dealing with all internal and external product related queries and referring any complex issues to the GPM for resolution
  • Updating and maintaining external client and supplier database

Marketing Administration and Team Support:

  • Maintaining the SHIELD database for auditing purposes
  • Ensuring that all SOPs are loaded on the internal drive and liaising with HR to ensure that the relevant SOPs are captured on

Policy Passport

  • Capturing and managing of quick reference guide as per instruction by PM and communicate any changes to the Sales Training
  • Manager
  • Dealing with all daily courier requirements for the department
  • Management of storeroom and ensuring all logs (Roll up, marketing and corporate gifts) are captured and maintained
  • Assisting with any other duties required by Marketing as outlined by the Marketing Executive.
